Reports on Meeting of Gedney Jubilee Committee

28th March 2022

12 people attended including me representing the GPC. A Committee was formed with me as a member to formulate and progress the ideas for the Jubilee celebrations for HM the Queen.

After various ideas were proposed and discussed it was finally decided that there will be a picnic held on Sunday 5th June 2022 from 12 noon to 5 pm. The Sunday was chosen as Fleet are having their event on the Saturday and this will avoid a clash of events. Those attending will be asked to bring their own food and drink including alcohol if desired and blankets or garden chairs to sit upon. It is hoped that refreshments (but not alcohol) will be available at the venue but that has yet to be finalised. By allowing visitors to bring their own alcohol the organisers will not need to apply for an alcohol licence. Visitors to the event will be allowed to bring their dogs if they so desire but they should be kept on a lead. It was mentioned that they did not expect any other animals to attend. (I am looking for a suitable time to tell Alfie that he will not be going.)

There were 3 good venues suggested but after looking at the pros and cons it was decided that the event will be held in the St Mary Magdalene Church Gedney's grounds. It was stressed that this is not a church event but just using the church facilities for the picnic. There are large grass areas to both the front and the back of the church where people can sit or wander. The front and back door of the church will be opened to allow free access through the church to the front and back areas. The church also has toilets and a kitchen if refreshments are supplied plus, if the weather turns wet, visitors can shelter inside the church. There will be at least one marquee and hopefully a couple more. Also some members of the committee stated that they had some gazebos and these will be erected in the grounds.

Entertainment will be supplied by the music provider who was used at last year's fete. There will be a Childrens' fancy dress competition as well as an adult Jubilee Crown competition held at 3pm.There will be a number of free games for the children to play to keep them amused with small prizes to be won.

Flags, bunting and decorations will need to be sourced and obtained. Two of the committee with experience are producing a flyer and once it is agreed then between 1500 and 2000 will need to be printed off for distribution. The event will be displayed on Facebook and other social media platforms and the Voice newspaper will be approached to do an editorial on the event.

I was asked about any funding available from the PC and I explained that the PC had voted on giving a £250 donation to any event held in the parish and felt sure that this would be honoured. It was stressed that this event is for the whole of Gedney and people from all over the parish are welcome to attend and celebrate such a momentous occasion.

There is a follow up meeting on the 11th April which I shall be attending to assess the progress of each point raised and the committee has exchanged phone numbers and emails to keep in touch. It is aimed to get the flyers out to the people of Gedney Parish by the 2nd week in May.

If any PC member would like to attend the meeting you would be more than welcomed and if you have any ideas or suggestions that could help the event be a success please let me know.

11th April 2022

I attended the second meeting of the above committee last evening.

Various plans were agreed and items such as bunting, flags etc were sourced and priced up. The games for the children were agreed and the supplying of the music was discussed. The two flyers were looked at in detail and a mix of the two was agreed as the best way to publicise the event.

It should be noted that a few of the committee members represent Gedney Dyke as they view this event as including their area which is why there is not separate event being planned by the residents there.

The Chairman of the committee will be getting in touch with Jane regarding what will be required by the PC to access the £250.00 donation towards the events costs. The next meeting will be on the 16th May at 7pm and I will be in attendance.

All in all things are progressing well and it should be a good event to honour HM the Queen.
